Privacy Data AI and Cookies Policy

PRIME NEST HOLDINGS PTY LTD ABN 13 698 630 554, trading as LicenceLane (we, us), handles personal information relating to learners, instructors, applicants, visitors and enquirers through our website and services. This policy explains that handling under applicable Australian privacy laws, including the Privacy Act 1988 (Cth) where it applies.

1 Personal information we collect

We collect identity, age and, where needed, date of birth; contact and account details; driving licence details; pickup and test locations; vehicle, availability, calendar and booking details; prepaid purchases, balances, reservations, redemption and expiry records; payment, refund and payout records; communications, reviews, complaints and incidents; and device, security and usage information. Instructor information also includes business, bank, tax, accreditation, qualification, screening, insurance and credential records.

Sensitive information may include health or disability information needed for safe instruction or adjustments, and criminal history information relevant to instructor screening. We collect it only where reasonably necessary and lawful, with consent where required. Where a young person cannot understand and consent to the proposed handling, we seek a parent or guardian’s consent if consent is required.

2 How and why we collect information

We collect information directly through registrations, applications, purchases, bookings, uploads, communications and connected calendars; automatically through website logs, cookies and browser storage; and from authorised representatives or payers, the other booking party, service providers, referees, insurers, public registers and authorities where lawful.

We collect, hold, use and disclose information to operate the marketplace and accounts; verify instructors; administer prepaid entitlements; arrange bookings and support service delivery by instructor businesses; manage calendars, payments and support; investigate complaints, incidents and fraud; improve our services; and meet legal obligations or establish, exercise or defend legal rights. Marketing is subject to applicable consent requirements. You may unsubscribe using the message link or contact us.

Automated systems use licence class, location, availability, vehicle, price, payment, purchase conditions, prepaid balance, expiry and timing information to match services, confirm bookings, reserve, deduct or restore entitlements, apply expiry dates and calculate standard charges, refunds and payout eligibility. Verification, transaction and security information may generate flags to assist staff decisions about eligibility, account restrictions, payment disputes and fraud. You can contact us to request review of an automated result.

You may make general enquiries anonymously or using a pseudonym where practicable. Without information needed for a booking, payment or verification, we may be unable to provide the relevant service.

3 Who receives information

We share learner contact, location and relevant service details with the booked instructor business and instructor. Choosing a different instructor does not give that instructor general access to your account or unrelated booking history. Profiles display professional, vehicle, availability, service area and verification status information. Documents for a booked instructor service identify its supplying business. We disclose relevant information to advisers and insurers for the purposes above, and to authorities where required or authorised by law.

Where required under Schedule 1 to the Taxation Administration Act 1953 (Cth), we collect and report instructor identity, business and transaction information to the Australian Taxation Office under the Sharing Economy Reporting Regime.

Service providers receive information needed for hosting and storage, payment processing and fraud prevention, email and SMS, verification, maps and address searches, connected calendars, analytics and AI chat.

Information may be held or accessed in Australia and overseas, including in the United States, United Kingdom and Netherlands. We take the steps required by applicable law for overseas disclosures.

4 Google Calendar synchronisation

Google Calendar synchronisation is optional. With your authorisation, we access connected account and calendar identifiers and, in the calendars you select, event dates and times, including recurrence, whether an event is marked busy or free, and your response to it. We only read those calendars, to manage your availability: times you are busy stop learners booking those times, and we do not change or delete your own events. In the calendar you choose for lessons, we create, update and delete LicenceLane lesson events. Changes you make in Google Calendar are not sent back to LicenceLane. Google and any calendar integration provider used process information needed for the connection. Booking events sent to Google may contain learner names, contact details and pickup or test locations.

Our use and transfer of information received through Google APIs complies with the Google API Services User Data Policy and the Google Workspace user data and developer policy, including their Limited Use requirements. We do not sell this information or use it for advertising or to train general-purpose AI models. These restrictions prevail over broader uses described elsewhere in this policy.

You can stop future synchronisation by removing LicenceLane's access in your Google Account connections. This does not automatically delete previously transferred events or LicenceLane booking records. To request deletion of stored calendar information, contact our Privacy Officer. We retain Google-sourced calendar information only while needed for the connection or as legally required, subject to the restrictions above and the safeguards in this policy.

5 Cookies analytics and AI chat

Cookies and browser storage support sign-in, security, bookings, chat sessions and location preferences. Analytics process technical and usage information to measure traffic and performance. You can block or clear cookies and browser storage in your browser settings, which may affect these features. We obtain consent where required by law.

Optional Aleesa chat processes messages and technical information to generate replies. Aleesa may also use that information for service improvement and AI model training as described at https://aleesa.ai/privacy. Under Aleesa's policy, minors must have parental or guardian consent before using chat. Do not enter passwords, payment-card details, licence images or health information into chat. You can book without chat and contact us by email instead.

6 How information is held

Information is held in LicenceLane and service-provider systems. We take reasonable technical and organisational measures to protect it from misuse, interference, loss and unauthorised access, modification or disclosure. We retain information while needed for the purposes described above or required by law, then take reasonable steps to destroy or de-identify it where legally permitted.

You may request access to or correction of your personal information by contacting the Privacy Officer. We may verify your identity and respond within the period required by applicable law. If we refuse a request, we provide reasons and complaint options as required by law. You may withdraw consent for future handling that depends on it; this may affect the relevant service.

8 Privacy complaints

You may complain about our handling of personal information by contacting the Privacy Officer. We investigate and aim to respond within 30 days, explaining any delay. If you are dissatisfied, you may complain to the Office of the Australian Information Commissioner at https://www.oaic.gov.au where it has jurisdiction, or another relevant privacy regulator.
